Office Assistant

Job Summary

The Office Assistant provides administrative and clerical support to ensure the efficient operation of the office. This role is responsible for handling daily office tasks, maintaining records, coordinating communications, and supporting staff and management with various administrative duties.

Key Responsibilities

  • Answer and direct phone calls, emails, and other correspondence.
  • Greet visitors and provide general assistance.
  • Maintain filing systems, records, and office documentation.
  • Schedule meetings, appointments, and conference rooms.
  • Prepare reports, presentations, and other business documents.
  • Manage incoming and outgoing mail and deliveries.
  • Order and maintain office supplies and equipment.
  • Assist with data entry and database management.
  • Support accounting functions such as invoice processing and expense tracking.
  • Coordinate travel arrangements and logistics as needed.
  • Perform other administrative duties assigned by management.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous administrative, clerical, or office support experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize work effectively.
  • Attention to detail and accuracy.
  • Professional demeanor and customer service skills.
